What to set up first, and what to skip
Ranked for service businesses that live on leads, quotes and appointments (contractors, clinics, law and accounting firms, agencies). The ranking asks one question: does it make you money or save you hours, without annoying your customers?
🟢 S tier: set these up first
Missed-call text-back (under 60 seconds)
- Every missed call gets a text from your number. Callers stay with you instead of calling the next company.
- Effort: low. Payback: the first saved job.
Automatic follow-up after every quote
- Short messages on day 2, 5, 12, 20 and 30 that stop when they reply.
- Sales-software vendors say about 8 in 10 deals don't close during the visit.
- Effort: low–medium.
🔵 A tier: next
Same-day review requests
- Ask every customer on the day the job is done, while they're happy.
- 74% of US consumers look for reviews from the last 3 months (BrightLocal, 2026).
Waking up old quotes
- Reach unsold quotes from the last 6–12 months. Email first (with an unsubscribe line); text only people who agreed to texts.
Proposals from your site notes
- You talk through the visit into your phone, and AI drafts the proposal from your template. You set the price and check it.
Meeting notes into your CRM
- AI writes the notes and the follow-up email. One Morgan Stanley advisor in their pilot said it saved about 30 minutes per meeting (CNBC, 2024). Get the customer's OK before you record.
🟡 B tier: useful, with care
AI voice receptionist that hands off fast
- Great after hours and for overflow. It has to say it's AI, say the call is recorded, reach a human in one step, and have its calls reviewed daily. (See "12 checks".)
Recording sales visits for coaching (with the customer's consent)
- Real, but smaller than the ads. Rilla's rollout across Neighborly's 500+ locations reported close rate +1.9% and average ticket +13% (the two companies' own figures). It's worth it only if a manager actually reviews the recordings.
🟠 C tier: nice to have
AI-written social posts
- It saves time, but it won't book jobs by itself. Real job photos beat AI graphics.
🔴 D tier: mostly a waste
Website chatbot
- It can answer questions, but it rarely books a job by itself. A visible "text us" button and a fast reply (S tier) do more.
⛔ F tier: don't
ChatGPT setting your prices
- It doesn't know your team, costs or margin. It guesses, and you pay for it.
AI receptionist with no way to reach a human
- People hang up and call someone else.
AI that pretends to be a person
- When customers find out, it's the lie they're angry about.
Your first 30 days
- Week 1: missed-call text-back.
- Week 2: quote follow-up.
- Week 3: same-day review requests.
- Week 4: measure, then pick one A-tier item.
