What to send after every quote or proposal, word for word
Why this matters
- Most jobs don't sign at the first meeting. Sales-software companies that track in-home sales visits say about 8 in 10 don't close during the visit, and many close between day 2 and day 30. (That's vendor data from companies that sell follow-up tools, Feb 2026.)
- Most companies stop too early. They send the quote, follow up once, maybe twice, and then go quiet because they don't want to be pushy.
Silence doesn't mean no. It usually means busy.
Before the meeting ends
Ask these two questions:
- "What would stop you from moving forward with this?"
- "When should I check back in?"
Write both answers down. They decide what you send on day 5.
The plan
Same day: the quote plus a short recap
Hi [Name], here's your quote for [job]. Quick recap of what we talked about: [1–2 lines]. Any questions, just reply here.
Day 2: answer the question they didn't ask
Hi [Name], one thing people often ask after a quote like this: [how long it takes / what's included / payment options]. Happy to explain anything.
Day 5: their worry (use the answer from question 1)
Hi [Name], you mentioned [worry]. Here's how we handle that: [one clear line]. Would that help you decide?
Day 12: the one-question nudge
Hi [Name], are you still looking to get [the project] done?
(Short questions like this get replies. Don't add a discount.)
Day 20: proof
Hi [Name], we just finished a [similar job] nearby — here's how it turned out: [photo]. Your quote is still good if you want to move forward.
Day 30: close the file politely
Hi [Name], I haven't heard back, so I'll close your file for now. If anything changes, just reply to this and I'll pick it right back up.
Don't skip this one. People often answer when they feel the door closing, even when there's no pressure in it.
Rules
- Stop the moment they reply. A human takes over from there.
- No discounts in follow-up. A discount tells them your first price wasn't real.
- Use one channel they prefer (text or email), not both at once.
- Text only if they said texting is OK. Send between 9am and 8pm their time, Monday to Saturday (some US states are stricter). Stop the moment they ask, in any words.
- Emails need an unsubscribe line.
- Track the stage of every quote: sent, following up, won, lost. The reason you lost is gold.
Where AI actually helps with quotes
- You set the price. Always from your own numbers. Never let ChatGPT guess it: it doesn't know your team, your costs or your margin.
- You talk through the meeting or site visit into your phone. AI turns your notes into a clean proposal from your own template, and you check it.
- The proposal goes out the same day, not three days later.
- The follow-ups above go out on their own, and they stop when the customer replies.
Measure it
Track two numbers for your last 20 quotes, then for your next 20:
- Close rate
- Days from quote to signed
